When is the best time to switch payroll providers?

The absolute best time to switch payroll providers is at year end. (Call us in November and December to learn about our new customer payroll specials for the new year!)  If you would like to switch earlier, that is no problem.  We recommend switching payroll providers at the end of one of the fiscal quarters during the year (March 31st, June 30th, September 30th, or December 31).  It is best to contact us about one month before you would like to switch payroll providers.  Changing payroll providers is quite simple and we make it as painless as possible so you can focus on running your business.

What documents are needed to switch payroll providers?

  1. All Employee Information (Name, Address, and Social Security Number)
  2. Employee Bank Account Information (For Direct Deposit)
  3. A Copy of the prior quarter's tax forms (Federal 941, State Tax Withholding Form, and State Unemployment form.
  4. A payroll register detailing YTD payroll information by employee (This is not required if switching at year end)

I am a new business or employer, how do I obtain the appropriate tax identification numbers?

A federal tax identification number is simple to obtain and can be obtained online.  Please visit the following website to obtain an EIN today. Federal EIN Online Application

State Tax Identification numbers can be obtained through the department of revenue for each state.  See below for details on how to obtain state tax identification numbers.

Pennsylvania

A Pennsylvania withholding tax identification number and unemployment account number can be obtained by completing the PA-100.  The PA-100 is an online application that can be used for Pennsylvania withholding tax, Pennsylvania Unemployment tax, and Pennsylvania Sales Tax.  Please visit the following website to obtain the necessary PA tax identification numbers.  Pennsylvania Withholding Tax & Unemployment Tax Online Application

Texas

The state of Texas does not have a state withholding tax, but employers are required to withhold unemployment taxes.  A Texas unemployment account number can be obtained by visiting the Texas Workforce Commission Website.  Please click the following link to visit their website and obtain a Texas Unemployment Identification Number.  Texas Workforce Commission - Unemployment Account Registration

Massachusetts

The state of Massachusetts requires all new employers to register with the Massachusetts Department of Revenue.  By registering with the department, an employer will be assigned a state of Massachusetts withholding account number.  Please visit the following link to obtain a Massachusetts withholding account number and to register your business with the state of Massachusetts.  State of Massachusetts Payroll Tax Withholding Registration 

The state of Massachusetts also requires all new employers to register with the Massachusetts Division of Unemployment Insurance.  By registering with the division, an employer will be assigned a state of Massachusetts unemployment account number.  Please visit the following link to obtain a Massachusetts unemployment account number and unemployment rate.  State of Massachusetts Unemployment Account Number Application 

West Virginia

The state of West Virginia requires all new employers to register with the West Virginia State Tax Department .  By registering with the department, an employer will be assigned a state of West Virginia withholding account number.  There is not an online application to register with West Virginia, but once an employer is registered, the employer is able to access their account online.  Please visit the following link to obtain the form to register with the state of West Viriginia.  West Virginia Employer Withholding Tax Registration

The state of West Virginia also requires new employers to register via WorkforceWV for an unemployment account number.  Complete the initial employer statement via the following link and mail or fax the form to the West Virginia unemployement department.  West Virginia Employer Unemployment Registration

Michigan

The state of Michigan requires all new employers to register with the state of Michigan.  The state of Michigan has a one-stop website that allows employers to register for Michigan State Withholdings Tax and Michigan Unemployment (UIA) Tax.  Please visit the following link to connect to the Michigan Business One Stop Site to register for Michigan Payroll taxes.  Michigan State Withholding Tax & Unemployement Tax Registration
